How to Track Gift Certificate Redemptions

A simple, reliable redemption-tracking system for small businesses — POS-based or spreadsheet-based.

Redemption tracking is the most boring part of running a gift certificate program and the part that quietly determines whether you make money or lose money. Here's the minimum viable system.

What to track for every certificate

At minimum: certificate number, purchase date, value, buyer name and email, recipient name (if provided), expiration date, redemption date, and remaining balance.

POS option (recommended)

If your POS supports gift cards, use it. Square, Shopify, Toast, and Clover all handle this automatically. Reconcile the gift card liability report monthly.

Spreadsheet option (for very small businesses)

A simple Google Sheet works for under 50 active certificates. Add a row at purchase, mark redeemed at the time of use. Lock the cell formatting so nothing accidentally edits historical rows.

Weekly reconciliation

Set aside 15 minutes weekly to confirm every redeemed certificate matches a logged sale. This is what prevents shrinkage and double-redemption.
